Job Title: Administrative Assistant
Department: Academy
Reports to: Academy Administrator
Classification: Full Time
Hours: Tuesday through Friday 9:00a.m.-5:00 p.m., Saturday 8:30 a.m.-4:30 p.m.

Summary:  The Academy consists of over four hundred students, between the ages of 4 and 60 and offers multiple programs to students of all levels and experience. The Administrative Assistant’s primary responsibility is to be the central information center for Academy programs, activities, and events. 

Responsibilities:

  • General academy contact (greeting parents and students and respond to telephone inquiries)
  • Create and keep monthly calendar current
  • Sell adult class cards and collect and process adult class payments
  • Marketing /PR duties:
    • Write, edit, and keep current Academy portion of the website
    • Create and distribute monthly newsletter
    • Point person for photograph collection
    • Write and edit for Academy portion in Ballet News publications
    • Coordinate requests for students to appear in outside public relations events.
    • Assist in creating and editing Academy brochures and programs
  • Manage the physical education credit program for year round students
  • Create and disseminate roll books
  • Assist Registrar in collecting delinquent payments, processing payments, filing, and mailings
  • Manage the academic education for year round students, manage the Rosetta Stone language program for foreign students, and serve as liaison with the Education Advisor
  • Coordinate housing arrangements for upper level students
  • Plan and coordinate summer dormitory activities
  • Lower school liaison duties:
    • Prepare and distribute Nutcracker and Spring Performance packets to students and parents
    • Coordinate and be the communication center for lower school  student participation in company performances
    • Schedule and manage backstage chaperones for performances with student involvement.
  • Coordinate competition preparation and career planning as needed
  • Prepare and distribute notes from teacher meetings
  • Assist with pilates program by keeping current appointment book and class cards
  • Drive students to theater, doctor’s offices, or the airport if necessary

Qualifications:

  • Be able to work nights and weekends for performances or auditions as necessary.
  • Ability to handle multiple tasks, meet deadlines, and make effective decisions
  • Knowledge of Microsoft Office applications
  • Excellent verbal, written, and interpersonal skills
  • Bachelors degree or equivalent experience
  • Knowledge of dance is a plus
